Scarefest Weekend Horror Convention 2025

OVERVIEW

  • ALL BAGS ARE SUBJECT TO SEARCH.
  • WHAT’S ALLOWED:
    • Lightsabers but if you bring a lightsaber you may have come to the wrong convention.
    • Bags, strollers and rolling carts.
    • Approved cosplay weapons made from foam, plastic, cardboard.  
    • Weapons for autographing as long as the following guidelines are followed:
      • Firearms are strictly prohibited at ScareFest Weekend.
      • Knives, swords, machetes, chainsaw blades and any other item(s) with sharp points or edges must be concealed in a box or backpack/bag at all times. Sharp edges and points must be covered (cut tubing and slide over sharp edges) to protect everyone.
      • Alert the guests’ table assistant that you have an item that you would like to get signed and let them know what it is.
      • DO NOT remove the item until the guests’ assistant asks you to. Place the item safely on the table. Allow the assistant to safely hand the item to the guests.
      • After the item has been signed, please put it away again safely.
      • NEVER openly display or openly carry these items inside the event. Doing so could result in being removed from the event by security without a refund.
  • WHAT’S NOT ALLOWED:
    • NO GUNS.  
    • No bladed weapons made of hard material (metal, wood, fiberglass) are allowed on-site with the exception of weapons for autographing per guidelines mentioned above.
    • Anything that looks like a real weapon or gun, even with an orange tip, is not allowed. If it is a replica of anything real or if a police officer wouldn’t know if it was real or not from a distance, it’s not allowed.
    • Anything that at any time had any combustion capabilities, like airsoft or BB guns, even if disabled, is not allowed.
    • FOOD… The convention center technically does not allow outside food and beverage, however we have asked that they make exceptions for those with special dietary requirements and young children. If you leave the convention center for food, please eat it outside and do not bring into the convention center, unless it is from one of the food trucks provided on site.
  • NO HARASSMENT ALLOWED
    • Do not touch, follow, bully, or otherwise taunt your fellow attendees online or at the convention. 

PROPS POLICY

ScareFest Weekend is dedicated to the safety and security of ALL attendees, guests, staff, volunteers, and exhibitors participating in the event.  Please read this entire policy before attending ScareFest Weekend. Failure to follow this policy may result in your removal from the convention without refund.

  • All attendees must adhere to State & Federal Laws at all times.  If it is illegal outside of the convention, it is illegal inside the convention.
  • EVERY prop will be handled on a case-by-case basis. You may be asked to take further measures to make the prop safe before it will be given approval. Be prepared for this contingency.
  • Any approved prop may be revoked at any time at the discretion of ScareFest Weekend staff or security, for reasons including, but not limited to, the item being utilized or brandished in an inappropriate fashion or if complaints are received regarding its improper display.
  • ScareFest Weekend reserves the right to refuse entry of any prop it deems unfit for any reason. Any misuse of a prop (horseplay, dueling, fighting, running/swinging, firing, etc.) is grounds for removal and or ejection from convention premises without recourse, up to and including legal action depending on the severity of the offense.
  • Props are homemade or commercially rendered items that support the overall look of a costume or character and do not look like a real weapon. Toy props generally designed for kids by LEGO, Nerf, or Hasboro are allowed as long as they cannot be confused for real weapons.
  • Props will be allowed providing they are composed of cardboard, foam, or other light materials.
  • 3D printed props made to look like realistic weapons will not be allowed.
  • Bows and crossbows will only be permitted if they’re absolutely prop in nature – no tension on the string beyond what it takes to keep it straight, and arrows should not have any form of tip. You are NOT permitted to bring arrows with metal tips into the event under ANY circumstances.
  • No items can have exposed sharp points, sharp edges, excessive weight or any other features that could be deemed dangerous to others.  If you are bringing a weapon for autographing then please refer to the guidelines above under WHAT’S ALLOWED.
  • All props must be checked at the Prop Check Table, where security will inspect the prop.
  • Props are only allowed if they are clearly toys or props which are made of cardboard, foam, or other lightweight materials. They must also have an orange tip, but an orange tip cannot be the only thing that makes something not look realistic.
  • The following items are NOT ALLOWED at ScareFest Weekend:
    • NO GUNS: This includes modern guns, hunting guns, historic guns, airsoft guns, BB guns, cap guns, paintball guns, or pellet guns – either functioning or de-commissioned.
    • NO CONCEALED GUNS OR WEAPONS, EVEN IF YOU HAVE A PERMIT.
    • NOTHING THAT LOOKS LIKE A GUN: This includes reproduction, 3D-printed, fake, or toy guns that can be confused for functional firearms regardless of the materials used to make it.
    • NO projectiles: This includes blow guns, functioning crossbows, functioning longbows, silly string, slingshots, water balloons and water guns. No props or weapons capable of firing any projectile or powder charge of any kind.
    • NO Sharpened metal blades unless they are for autographing purposes and the following guidelines are met.  For the safety and security of all attendees, weapons that are brought to the event for autographing must follow these guidelines.

    • NO Explosives: This includes firecrackers and fireworks.
    • NO Chemicals: This includes aerosols, mace, and pepper spray.
    • NO Blunt weapons: This includes brass knuckles, clubs, and nunchaku.
    • NO Hard props: This includes props made of metal, wood, or fiberglass.
    • NO Metal spikes
    • NO laser pointers. If you have a laser pointer in your prop, make sure it cannot function by either removing the batteries, or simply not bringing it.
    • NO Items that cause excessive noise levels like vuvuzelas, grenade whistles and grenade horns.
    • NO Tasers
  • PLEASE NOTE that if you violate any of the above rules you WILL be removed from the convention. THERE ARE NO EXCEPTIONS. If you are asked to leave by a member of ScareFest Weekend security or staff, you are required to comply with their requests or risk intervention by law enforcement. These decisions are based on the discretion of the security or staff member you are dealing with at that exact moment.
  • Do not attempt to skirt the rules.
  • Use common sense.  We will not endanger or put any of our attendees, staff, guests or vendors at risk.
  • ScareFest Weekend reserves the right to amend or change these rules at anytime for any reason to provide for the safety, security and general well being of attendees and the general public.

COSTUME AND MASK POLICY

  • All costumes at ScareFest Weekend must be PG during regular exhibition room hours. After hours, please keep it PG-13(ish). We are a family friendly show.  Nudity is not considered cosplay, well at this type of fan convention… there are other places for that.   Use common sense.
  • Anything that is illegal outside of the convention is illegal inside the convention.
  • ScareFest Weekend reserves the right to deem a costume as unacceptable and request the wearer make modifications as necessary, change out of the costume entirely into more appropriate clothing, or require you to leave the convention.
  • If your costume hinders your vision or movement in any way, you should have a friend or “handler” with you at all times who can move and see freely.
  • Masks are allowed…its a horror convention, however security and staff may ask you to remove your mask at any time, for any reason for identification purposes.
  • No public exposure. No flashing… You will be removed from the convention.  
  • You must wear shoes at all times (no bare feet) for safety purposes… it’s Kentucky but we keep it classy.
  • QUESTIONABLE MATERIAL: Some costumes from anime, comic books, sci-fi, video games, and other sources may contain questionable material. We do not allow the use of hate symbols on costumes. You may wear a costume that is an accurate representation of an existing character in fandom, but shock costumes, or costumes which have the sole purpose of offending and disrespecting others will not be tolerated. We ask that you be respectful of other attendees.
  • UNIFORM COSTUMES: Costumes that may be confused with LOCAL LAW ENFORCEMENT OR OTHER EMERGENCY RESPONSE PERSONNEL UNIFORMS are not permitted.
  • ROLLER SKATES:  The Convention Center has banned roller blades, bicycles, roller blades, skateboards, scooters, Segways, wheeled shoes such as Heelys, etc. inside the convention. You may carry these items as a prop, but you may not ride them at any time in the convention center. Hoverboards are awesome but also not allowed.

CODE OF CONDUCT

  • All attendees are expected to conduct themselves in a manner which is respectful of other attendees at all times.
  • You may not engage in any kind of behavior that could be deemed harassing, bullying, or stalking in any way.
  • While this is a very friendly environment with a lot of hugging and touching,100% of that is expected to be with consent.
  • Do not touch anyone’s hair, body, costume, prop, or anything else without permission.
  • Do not use hateful speech.  Yelling is only allowed when it’s done towards Brandon, the owner of the show, and should only be done when he screwed something up…
  • Do not follow anyone without their permission.
  • Security personnel are on site to assist anyone that feels uncomfortable at the event, and you may also ask for assistance at our info desk at pre-registration.
  • If Security, Police, or Staff consider anyone’s behavior to be in violation of the code of conduct policies, you may be ejected from the event and have your wristband or badge removed without refund or recourse of any kind.
  • In the event of a lost child we will immediately secure the facility.  This will be announced and is referred to at the show as a CODE ADAM.  If you hear this then please stop, listen, look around.  Also understand we will have to potentially close certain areas temporarily until the situation is resolved.  
  • Please be respectful of others at all times so that we can all have an outstanding event.
 

CONSENT TO FILM

ScareFest Weekend attendees may be photographed or filmed at any time at the convention. By purchasing admission to an event (or professional photo ops) hosted by ScareFest Weekend, all attendees consent to being recorded or photographed and used for media release, promotion, marketing, etc (this includes professional photo ops). In other words, by attending ScareFest Weekend, you give your consent to be photographed and appear on camera.
